Trip Rules, Notes, and AdvisoriesSki Trip Rules 1. You must be a paid-up Club member for 2007-08. Please send in the Membership Application in this brochure to join the Club or renew your membership. 2. To sign up, hand-deliver or mail the Trip Application form (located in this brochure) to the trip leader, together with a deposit check for the amount specified on the detailed trip information page. No phone/verbal sign-ups will be accepted. 3. Due to the limited number of spaces for each trip, Trip Applications are accepted in the order received beginning on August 1, 2007, based on (a) date of hand-delivery to the Trip Leader, or (b) date of postmark by the Post Office. Postmark date and hand delivery date will be counted equally when determining the order of receipt. 4. A lottery will be held if the number of “equal-date” sign-ups exceeds the number of spaces available on the trip. 5. Sign-ups received prior to August 1, 2007 will be deemed received on August 1, 2007. 6. Club members will have the entire month of August for priority sign-ups before advertisement to the general public in flyers and the newspapers. 7. Special procedures apply to minors under 18. Advise your trip leader on sign up. 8. Detailed information for each trip is listed in this brochure. Please contact the trip leaders for additional information. The Roanoke Ski Club (RSC) is a non-profit organization that arranges trips and activities for the enjoyment of its members. Therefore the following guidelines (the fine print!) apply: 1. Air, land, or lift ticket package deviations from the proposed trip (alternate departure points, frequent flier upgrades, etc.) will be considered as permitted by the tour agent and only after the trip is filled and the minimum trip complement is assured. Additional fees may be charged for such deviations, when permitted. 2. Once a deposit is accepted, there will be no refund or moving of monies to another trip until the original trip is run and accounts balanced. Once trip deposits and payments are made, the monies may be forfeited in the case of participant cancellation. 3. Trip insurance is highly recommended to cover illness and other last minute emergencies. Your trip leader can get this information for you. 4. The RSC and those administering the trip will not make any judgment of who should or should not receive a refund based on any circumstance other than the following. First preference for refunds, if refund money is available, will be given to those who cancel before final submission of names and final trip payment to the tour agent. Refunds may be given only if sufficient money remains in the trip account after the trip is run and after all bills have been paid. The RSC policy is to not lose money on the trip. 5. Be aware that the RSC is bound by contracts with tour agents coordinating our trips. Those participants who cancel after final submissions and payments to the tour agent will receive refunds only to the extent their monies can be recovered. If someone takes their place on a trip, any additional fees/penalties incurred are the responsibility of the person dropping out. 6. Prices are per person, double-occupancy. Single supplements may be available, and you should check with the trip leader if you are interested. The trip leaders will make every effort to help match singles (without a roommate preference) with a same-sex roommate. However, it is the ultimate responsibility of the single to find themselves a roommate. The trip leader reserves the right to adjust the trip roster to fill the trip. 7. There is no smoking in any rooms or condos on RSC trips without the consent of all occupants and as allowed by the lodging rules. Some lodging is non-smoking. 8. Accommodations may vary and are assigned on a first paid, first choice basis.

A Credit Card may be required by the lodging at check-in to cover
phone charges and breakage. Trip Notes and Advisories! Are provided for your information but may not be complete or definitive!!! Passports: Current passports are required for the Canada, Japan, and Big Mountain trips (a copy of your passport may be needed by to the tour agent ahead of time.). If your passport expiration is within 6 months of the return trip, please check the country’s entrance requirements. You may wish or need to get your passport renewed NOW. For information: http://travel.state.gov/foreignentryreqs.html Children: There are some special rules for one parent traveling with a child out of the country. In some cases you need authorization from the other parent. For this special case please check carefully ahead of time. Any person under the age of 18 and traveling alone should carry a letter from his/her parent or guardian authorizing the trip. Travelers without such documentation may experience delays at the port of entry. Frequent Flier Tickets: The Roanoke Ski Club trips are purchased through a tour agent on the basis of a package including air, land, and often lift tickets. When you get your own air with a frequent flier ticket, you may impact the package requirements for the trip leader. Generally the club does not allow frequent flier tickets Other Special Issues: Our contracts with our tour agents limit us in getting special seat assignments or frequent flier upgrades ahead of departure time. Please give any frequent flier numbers to the airline at time of check-in. If you have other special considerations, please discuss with the trip leader. Some can be accommodated and some may not be possible within our contract limits. We can arrange flights from other cities on some trips. Please recognize that each special request is a lot of extra work for the trip leader. Fuel Surcharges and Taxes: Note the trips priced in this newsletter are based on charges and taxes in effect at the time of our contract. All trips are subject to possible added charges for fuel surcharge or taxes increases. |
